We are the "data controller" responsible for your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. The information we collect

Information you give us

When you submit one of our forms — a demo request, lead audit, contact or enquiry form — or book a call with us, we collect the details you provide. Depending on the form, this includes:

  • Your name
  • Your email address
  • Your phone number
  • Your gym or business name
  • Any message you write, and the answers you give in our lead audit tool (for example, how you currently handle enquiries)
  • Booking details when you schedule a call or demo through our calendar

Information we collect automatically

When you visit the site, we and our service providers automatically collect certain technical information, including:

  • Your IP address, browser type, device and operating system
  • The pages you view, links you click, and how you arrived at the site
  • Marketing attribution data such as UTM parameters and advertising click identifiers (for example, from Google or Meta ad campaigns)

Most of this is collected through cookies and similar technologies — see section 6.

3. How we use your information and our lawful bases

Under UK GDPR we must have a lawful basis for using your personal data. We rely on the following:

  • To respond to your enquiry and provide our service — replying to your message, arranging and delivering a demo, and following up about GymGlitch. Lawful basis: taking steps at your request before entering a contract, and our legitimate interests in responding to enquiries.
  • To send you marketing — occasional emails or messages about GymGlitch and related offers, where you have asked to hear from us or are an existing business contact. Lawful basis: consent, or our legitimate interest in marketing to businesses. You can opt out at any time (see section 9).
  • To measure and improve the site and our advertising — understanding how the site is used and how well our ad campaigns perform. Lawful basis: consent (for analytics and advertising cookies) and our legitimate interests.
  • To keep the site secure and prevent abuse — including bot and spam protection on our forms. Lawful basis: our legitimate interests in protecting our website and users.
  • To meet legal obligations — for example, keeping records we are required to keep. Lawful basis: compliance with a legal obligation.

4. Marketing and advertising

We run advertising on third-party platforms, including social media and search networks. To measure which ads lead to enquiries, we share limited information about form submissions with these platforms. Where this includes identifiers such as your email or phone number, it is hashed (converted into an irreversible code) before it is sent, so the platform can match it without us disclosing your raw details. This helps us understand campaign performance and reduce wasted ad spend. You can control advertising cookies via section 6.

5. Who we share your information with

We do not sell your personal data. We share it only with trusted service providers who help us run our business, and only as far as they need it to provide their service to us. These include providers in the following categories:

  • Communications and email providers — to receive your form submissions and correspond with you
  • Scheduling and enquiry-management tools — to book calls and demos and manage your enquiry
  • Analytics and advertising providers — to measure how the site is used and how our advertising performs
  • Hosting and security providers — to run, deliver and protect the website, including spam and bot protection on our forms

We may also disclose your information where required by law, or to protect our rights, property or safety.

International transfers

Some of these providers are based outside the UK, including in the United States. Where your data is transferred outside the UK, we rely on safeguards recognised under UK data protection law — such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision — to ensure your data is protected.

10. Children

Our website and services are intended for gym owners and businesses, not for children. We do not knowingly collect personal data from anyone under 18.

11. Other websites

Our site may link to other websites. This policy does not apply to those sites, and we are not responsible for their content or privacy practices. Please read their own privacy policies.

12. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "last updated" date at the top of this page. Significant changes may be highlighted on the site.
